The task and the problem

Two files named “final” can have different exhibits, signature blocks, or tracked changes. The most recently received attachment may be a duplicate of an older draft. Without a version record, a reviewer must reconstruct the history before considering the substance.

The assignment produces a comparison packet and an explicit approval reference through a virtual document version control register. It supports legal document management support by distinguishing receipt order, revision history, and attorney-directed document production support, but it does not decide which disputed clause is correct or assume that a signed scan authorizes every other document in the folder.

What the firm supplies

Supply the document family, known baseline, received drafts, approved naming convention, review destination, and attorney responsible for selecting the working copy. Identify whether the next use is internal review, signature preparation, or something else. Permissions should allow preservation and comparison without letting staff accidentally replace an executed original.

How the work moves

Step Input Assistant action Output Attorney review
1. Inventory copies All supplied versions and receipt records Assign distinct version IDs and retain original names Version register Identify any missing expected copy
2. Establish baseline Attorney-designated comparison copy Record the source and intended comparison pair Baseline reference Confirm baseline if disputed
3. Compare content Baseline and candidate revision Generate comparison; inspect exhibits, formatting, and signatures Marked comparison plus exception list Assess substantive differences
4. Record decision Reviewer's selection and corrections Update status without silently merging drafts Selected working version reference Approve the exact version and use
5. Package handoff Selected copy and approval log Link clean copy, comparison, and retained source versions Internal review packet Authorize any later sending or filing

Illustrative example

Fictional matter Maple-046 has three copies of an agreement. A newer upload lacks the schedule found in the attorney's baseline. The document labels below are illustrative and do not describe a real transaction.

Version Receipt and source Difference observed Status
V-01 Baseline designated in review note R-01 Includes Schedule 2 Comparison baseline
V-02 Email attachment A-04 Clause text changed; Schedule 2 absent Attorney selection pending
V-03 Portal upload P-03 Signature page present; body not supplied Incomplete copy, not matched

The assistant does not attach V-03's signature page to V-02. The review packet points out the incomplete body and missing schedule so the attorney can request or select the right material.

Deliverables, missing information, and escalation

Deliver the register, paired comparison, source copies, and approval log. Acceptance requires unique version IDs, working links, complete attachment accounting, and a selection tied to the exact file. As part of legal file indexing and quality checks, a file named “approved” without an approval reference remains unverified.

Escalate competing baselines, unexplained missing pages, or a signature page that cannot be matched to its document. When the comparison tool cannot read a scan, note that limitation and request a readable copy or approved manual comparison. Never describe an unreadable comparison as “no changes.”

Systems and responsible AI use

Use access-controlled document storage, comparison views, change history, and file locking where approved. Microsoft's Microsoft: View previous versions of Office files describes version-history functions and notes that Microsoft 365 version history depends on storage in OneDrive or SharePoint. This is an optional product example, not evidence of firm access or staff proficiency.

Approved AI can help locate possible differences, but they still need verification against both originals. ABA Model Rule 1.6 supports attention to unauthorized disclosure; confidential drafts must not enter unapproved tools. No remote or virtual workflow should let a system autonomously accept revisions, combine signature pages, or distribute a selected copy.

What the firm could measure

  • Approval traceability: handoff packets with an exact selected-version reference and approval record divided by packets reviewed monthly, from the register.
  • Comparison exceptions: unreadable or incomplete comparison pairs per weekly batch, from the exception log, separated by cause.
  • Wrong-copy rework: packets returned because the wrong file was selected or attached divided by packets submitted monthly, from review records.

These proposed measures describe document handling and do not establish substantive correctness.

Practical questions

Is the latest upload always the working copy?

No, receipt time alone does not establish the attorney's selection. Preserve the upload and compare it with the designated baseline before changing the register's working-copy status.

What if version history is unavailable?

Use a controlled register of separately preserved files and receipt references. Record that earlier edit history is unavailable rather than reconstructing it from assumptions.

Can the assistant accept all tracked changes?

Only when the attorney expressly approves that operation on the identified version. Keep the original review copy and selection evidence so the change remains traceable.
