Clio workflow support

How can I connect my Clio workflows with trained support?

Get more from the Clio you already pay for. We map your intake-to-matter handoffs, use enabled native automations where appropriate and build a clear review path for AI drafts. A trained operator checks source information and exceptions. Your attorneys approve legal work and anything sent outside the firm.

Custom pricing. Scope and price confirmed in writing.

Match education to the work, then test the work

Legal support outsourcing should begin with role fit. Review the proposed specialist’s education, relevant experience, writing and practical work against the task. LL.B., LL.M., J.D. and paralegal training describe different pathways; they do not establish U.S. attorney licensure.

Use a synthetic exercise that requires source checks and handling an unclear answer. Agree the review owner and permissions before a person or tool receives access.

Which Clio products do different jobs?

Clio Grow supports intake workflows involving forms, appointment links, emails, statuses and assigned tasks. A task step can hold the next steps until it is marked complete, which can support your firm's review procedure.

Clio Manage publishes automations for assigning task lists, generating template documents and applying a matter template when converting from Grow. These functions are available on selected plans.

Clio Work is a separate legal-work product using Vincent AI for research, document analysis and drafting. Its help guidance requires final review and due diligence by a qualified legal professional.

What would Clio legal admin outsourcing cover?

We can scope the operational work around the tools your firm has chosen: document required intake fields, map a matter handoff, organize approved templates and assign a named review owner. We check current permissions and existing automations before proposing another trigger.

A task list and a generative draft serve different purposes. We use a fixed rule for a predictable handoff and propose AI only for an agreed task that needs it.

  • Record which event starts the workflow and which account can act.
  • Test missing assignees, repeat events and incomplete matter fields.
  • Keep generated content in draft until the reviewer approves it.

What does a person check each day?

The operator reconciles the intake record with the matter record, checks that required documents arrived and examines any failed or duplicate action. For AI summaries, the person compares each factual statement with its source and records unresolved differences.

A Clio virtual legal assistant can prepare a status report of work awaiting review, with the responsible person and source location. Access changes, conflict decisions and approval authority stay with your firm.

How do we test the intake-to-matter handoff?

In a synthetic test, a form is submitted twice and the matter has no assigned reviewer. The test asks whether the setup reports the repeat event, preserves one intended handoff and holds further work until responsibility is clear.

We also inspect which existing automation triggered each task or document. Clio documents an automation history and warns that duplicate workflows can create duplicate tasks or documents. The goal is a reviewable setup, not a promise that duplicate records can never occur.

What stays with my attorneys?

Attorneys decide conflicts, representation, advice, legal deadlines and the final substance of correspondence or filings. The operator does not adopt an AI research conclusion as legal advice. Every external message or document requires attorney approval.

Can I choose setup, ongoing support or both?

Yes. A fixed-scope build can hand over documented procedures to your current team, or a managed operator can perform the agreed daily checks. AI pricing, testing and maintenance responsibilities are confirmed in writing.

The quote distinguishes our implementation and people from Clio subscriptions and any additional vendor charges. Account features, access and permitted integrations are checked before work begins.

A person remains accountable

Six controls for every proposed AI workflow

Approved tools and data

Use only firm-approved systems, permissions and data categories.

Drafts with named reviewers

Label every AI output as a draft and route it to a named human reviewer.

Traceable extracted facts

Keep a source link or document/page reference for every extracted fact.

Visible exceptions

Log missing evidence, conflicting inputs and failed steps. Never silently fill gaps.

Attorney approval before sending

AI never makes legal decisions or gives advice. Nothing is sent to a client, court or opposing party without attorney approval.

SOC 2 Type II scope review

Remote Legal Team LLC states SOC 2 Type II security. Confirm report scope, period and covered services during diligence; it does not certify every proposed tool or make a workflow automatically compliant.

Questions about this workflow

Are Clio Grow, Manage and Work the same AI product?

No. Grow focuses on intake workflows, Manage includes practice-management automations, and Work supports substantive legal research and document work. We confirm your licensed products before designing a workflow.

Can a review step use Clio's existing functions?

Yes, where the account supports the required setup. For example, Grow documents assigned task steps that hold progression until completion. Your firm defines who may complete the approval step.

Will an automation change my court deadlines on its own?

Our scope requires a source check and attorney approval for legal deadlines. Unclear dates or calendar differences enter an exception queue instead of becoming an assumed deadline.
