Before reusing an automated court-form template, a family law firm should confirm the approved source form, the template's review status and the information it will insert. Assign someone to maintain the reusable template and someone authorized to approve substantive changes. A familiar file name or a successful download does not answer those questions.
Why does a saved template need its own review?
An automation platform can contain a current form library while the firm's saved template still reflects an earlier version. Clio provides a concrete example: its Clio Draft documentation says saved court-form templates require manual updating when official forms change. That product fact does not establish how another platform behaves.

Which version is the firm actually approving?
Keep three objects distinct in the review: the official source form, the firm's reusable template and the document generated for a particular matter. Updating one should not silently change the status of the others. A template approved for future work does not, by itself, authorize replacing an earlier signed or filed document.

Use a clear internal identifier for the approved template. Record its source reference and review decision somewhere staff can find while choosing it. Avoid putting real client details into a general template catalogue. The catalogue should explain approval and permitted use, while matter-specific information stays in the approved matter system.
What should trigger a template review?
A notice that the official form changed is a reason to refer the affected template to its owner. So are a changed court selection, a new field, an altered firm instruction or an unexpected generated output. Staff should record the observed change rather than deciding that every existing document is invalid.
Start with what the firm saved: default text, selected options, attachments and any fields populated automatically. A default may have been reasonable for one earlier use without being appropriate for the next matter. Check the generated preview as well as the template editor, because the firm needs to review what the recipient will actually receive.
Counsel determines form applicability, wording and any effective-date or transition question. The administrator then maintains the template within that decision. If the official source cannot be checked or two instructions conflict, keep the reuse question open and refer it to the designated reviewer.
How should the firm retire an older template?
Retirement should change which template people can choose for new work. It should also preserve an intelligible record of what was previously used, subject to the firm's instructions. Mark the replaced item clearly and update the approved catalogue or shortcuts so staff do not choose it by habit.
Before making a broad change, identify saved copies or automated actions that refer to the older template. The firm may need different instructions for unused templates, unfinished drafts and completed documents. Counsel decides whether a particular matter needs attention; the template owner should not replace or destroy matter records simply because the library changed.
Record who approved the replacement and what remains unresolved. If the replacement is withdrawn, staff need a clear instruction about the next permitted action. They should not have to choose between two files that both appear approved.
What can supervised support staff prepare?
A legal assistant can locate firm-designated templates, record source references, compare visible fields with an approved baseline and flag unexpected defaults. Staff can prepare an administrative exceptions list without deciding legal sufficiency. A synthetic preview can help a reviewer inspect layout and field behavior without introducing real family or child information into testing.
